Privacy policy
This policy covers this website, including the contact form and the programme application. Eva, our voice check-in service, has its own Eva privacy policy.

In short
- You can read and use everything on this site without giving us any personal data. There is no sign-up.
- We do not use cookies, analytics or advertising trackers.
- We only collect personal data when you fill in the contact form, apply for the programme, email us or message us on WhatsApp, and we use it only to reply and to run the programme.
- We never sell your data or add you to a mailing list without asking.
1. Who we are
DailyFriend Ltd is the data controller for the personal data described in this policy.
- Company name: DailyFriend Ltd
- Company number: 17118378
- Registered address: 64 Daisy Brook, Royal Wootton Bassett, Swindon, England, SN4 7FF
- Contact for data protection questions: rick@dailyfriend.co.uk
2. What this policy covers
This policy covers the website at dailyfriend.co.uk. It does not cover:
- Eva, our voice check-in service. See the Eva privacy policy.
- The document anonymiser at anonymiser.dailyfriend.co.uk, which is a separate service.
- Other websites we link to, such as regulators, suppliers and the tools in our directory. Their own privacy policies apply once you leave this site.
3. When you browse the site
You do not need to tell us who you are to read the site, use the templates, run the “Can I use AI for this?” check or search.
- No cookies. The site does not set cookies.
- No analytics or trackers. We do not use Google Analytics or any similar service, advertising pixels or social media widgets.
- No third-party content. Fonts, images and scripts are all served from this site.
- The check and search run in your browser. Your answers to the “Can I use AI for this?” check and the words you search for are not sent to us.
Our hosting provider, Vercel, keeps short-lived technical logs of requests to the site: your IP address, the page requested, the time, and your browser type. These logs are used only to deliver the site, keep it secure and fix faults. The lawful basis is our legitimate interest in running a secure website.
4. When you use the contact form
What we collect: your name, email address, organisation (optional), the topic you choose and your message.
Why: to read and reply to your message, and to act on a correction or tool suggestion if you send one.
Lawful basis: our legitimate interest in answering people who contact us.
Please do not include personal details about the people you support, or anything else confidential, in your message.
5. When you apply for the programme
What we collect: your name, role, email address, phone number (optional), organisation, organisation type and size, the task you describe, your organisation’s experience with AI, whether someone can give the time, and anything else you add.
Why: to assess your application, contact you about it, and plan the cohort around the problems applicants share.
Lawful basis: your consent, which you give with the tick box on the form. You can withdraw it at any time by emailing us. We will then delete your application.
If you are offered a place, we will tell you in writing what it costs, how any payment is made, and how information shared during the programme is handled, before you commit to anything.
Please do not include personal details about the people you support in your application.
6. When you email us or message us on WhatsApp
If you email us, we receive your email address and whatever you include in the email. We use it to reply, on the basis of our legitimate interest in answering people who contact us. Our email is provided by Google Workspace.
If you message us on WhatsApp, we receive your phone number, the name on your WhatsApp profile and your messages. We use them only to reply to you in WhatsApp, on the same basis. We do not call you unless you ask us to, and we do not add your number to any list. The WhatsApp button on this site uses plain links: nothing from WhatsApp loads until you tap one.
WhatsApp is run by Meta, which handles your messages under WhatsApp’s own privacy policy. Messages are end-to-end encrypted, so WhatsApp cannot read them, but it does process your phone number and information about how you use the service, including in the United States. Please do not share details about the people you support.
7. Who we share your data with
We do not sell your data or share it with anyone for marketing. We use these service providers (“processors”) to run the site and handle messages. They may only use your data to provide their service to us.
| Provider | What they do | Data they handle |
|---|---|---|
| Vercel Inc. | Hosts this website and passes form submissions to our email | Technical request logs, including IP addresses, and what you enter in the contact and application forms (passed on, not stored) |
| Google (Google Workspace) | Our email | Emails you send us, and the form submissions we receive by email |
We may also share data if the law requires it.
8. International transfers
Some of these providers are based in, or may process data in, the United States. Where that happens, the transfer is protected by the UK Extension to the EU-US Data Privacy Framework (the “UK-US data bridge”) or by the International Data Transfer Agreement approved by the Information Commissioner’s Office.
9. How long we keep it
- Contact messages, emails and WhatsApp chats: up to two years after our last exchange, then deleted.
- Programme applications: if you are not offered a place, up to 12 months after the cohort you applied for starts, so we can let you know about the next one. Then deleted.
- Participants’ details: for the length of the programme and 12 months after it ends, and financial records of any payments for six years to meet UK tax rules.
- Hosting logs: kept by Vercel for a short period set by Vercel, then deleted automatically.
10. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct data that is wrong or incomplete
- ask us to delete your data
- ask us to limit how we use your data
- object to how we use your data, where we rely on legitimate interests
- withdraw your consent at any time, where we rely on consent
- ask for your data in a format you can take elsewhere
To use any of these rights, email rick@dailyfriend.co.uk. We will reply within one month.
11. How to complain
If you are unhappy with how we have handled your data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator:
- Website: ico.org.uk
- Helpline: 0303 123 1113
12. Changes to this policy
When we change this policy, we update the date at the top of this page. If a change affects how we use data you have already given us, we will tell you by email.
